What lives in this room
Six things Deposit Book handles for you, so the manager can spend the day on residents instead of registers.
One ledger per bed
Deposit amount, date, method and any top-ups, held against the bed and the resident.
Photo-backed deductions
Damaged furniture, lost keys or unpaid dues, each deduction has a reason and a picture.
Standard rate card
Set fixed charges for common items like a lost key or deep cleaning, so every manager charges the same.
UPI refunds
Refund the balance by UPI on move-out and send a refund statement on WhatsApp.
Move-in condition record
Photos of the bed, cupboard and room at check-in, so move-out comparisons are fair.
Liability at a glance
Total deposits held per property, upcoming refunds by month and anything overdue.
How it runs
Four steps, then it runs itself

Collect at booking
Deposit is paid with the first month and receipted.
- 2
Record the room
Check-in photos are saved to the bed.
- 3
Inspect at move-out
Add deductions with reasons and photos.
- 4
Refund and close
Balance goes out by UPI, statement goes to the resident.

Resident-first, by design
- ID documents are collected only for the verification the law requires, stored encrypted and visible only to managers you authorise.
- Every deposit deduction needs a reason and, where possible, a photo. Residents see both before the refund is closed.
- The AI Occupancy Forecaster predicts demand for beds. It never scores, ranks or rejects individual residents.
- Resident data belongs to the operator, is never sold, and is deleted once the legally required retention period ends.
Can a resident dispute a deduction?
Yes. Residents can reply to any line in the app. The manager sees the dispute before the refund is finalised.
Can deposits be adjusted against last month's rent?
If your house rules allow it, mark the final month as adjusted and the ledger records it.
Is there a limit on refund time?
You set a target, for example 7 days after move-out. Overdue refunds are flagged to the owner.
Do you hold deposits?
No. Deposits are collected into your own account. Cocarooms keeps the record, not the money.
